Executive Summary

This report describe my internship in Anam weaving Mills which is a textile mill and it’s do business in textile sector from a long time Pakistani textile market is counted on 8th biggest fabric market in the world.

I did 8 weeks internship in Anam weaving Mills MIS, Marketing, and accounts department. The major focus was on MIS department I learn windows installation, LAN WAN and other software and troubleshooting during this internship.

Anam weaving Mill produces and export the cotton and all other type of fabrics all the policies are according to the need of vision and mission statement except the control and power all the powers are given to upper management and lower management and employees are not considered while making necessary and important decisions.

There are power load shading issues now a days in Pakistan which are destroying the organizations like Anam weaving Mills.

The MIS department of the Ana weaving is very efficient they developed software’s for marketing and account department to increase their performance   and support all departments in every aspect regarding MIS and computers and emails they have separate servers for internet access management, files management and database management.

Marketing department is also very efficient they make marketing plan and implement it effectively and make the goodwill of ANAM WEAVING MILLS all products.

1.1 Brief history of ANAM WEAVING MILLS

 

Anam Weaving Mills.” was established in 1991 as a woven grey fabric manufacturer to cater domestic as well as export markets.  Top management of Anam Weaving comes from a group of companies already well established in the field of Textiles since 1956.

Initially most of the production was consumed by group companies to fulfill greige requirements for piece goods, garments/apparel and made-ups. However, in a very short period of time since its inception the ANAM WEAVING MILLS pioneered in manufacturing of quality fabrics and recognized by customers as specialists in production of difficult and tricky weaves.

Today the ANAM WEAVING MILLS has become choicest one stop shop for specialized greige goods for customers in domestic as well as major export markets like USA, Canada, Europe and Far Eastern Countries. Anam Weaving can offer not only grey fabric but also finished fabric for bottom wear, processed at leading dye houses meeting customers’ standards. Anam Weaving can also offer quality home textile products as complete stitching operation is carried out in house while the grey fabric is dyed/printed at renowned dying and printing mills.

Anam Weaving Mills was certified for Quality Management System ISO-9002:1994 on February 5 1999.After successful implementation and certification of ISO-9002:1994 the system was effectively upgraded to ISO 9001:2000 in January 2004. Management takes keen interest in implementation of ISO Standards which are being maintained at all levels of the organization.

1.2 Nature of the organization

Anam Weaving Mills. A leading greige, processed fabric and home textiles manufacturer cum exporter in Pakistan since 1992. Anam Weaving Mills have brand new Air Jet machines OMNI 800+Picanol in various widths (190cm, 220cm and 340cm), also Anam Weaving Mills are maintaining Sulzer shuttle less weaving machines of 390cm width. Our targeted market is USA, Canada and Europe. We are currently supplying our fabrics mainly to US market, Canada, South Africa, Germany, UK, Sri Lanka, Bangladesh and far Middle East. Directors of the ANAM WEAVING MILLS are well experienced devoted and has their third generation involved in textile field.

Anam Weaving Mills make fabric from yarn and send to the export house which sale the fabric and make revenue for organization. Anam weaving also deals on custom based inquiry, clients send the sample of fabric and Anam Weaving Mills make the fabric according to the need of customer.

Anam Weaving Mills major clients are from US and European countries about 500 employees are working in the ANAM WEAVING MILLS in different department as salary base and contractor base. Organization is equipped with all new machinery of textile looms like air jet loom technology with latest model machinery.

The head office of Anam Weaving Mills is in Lahore DHA PHASE 3 and the production unit of Anam Weaving Mills is also in Lahore on 20 KM feroz pur road Lahore Anam weaving also have sub offices in Faisalabad and Karachi.

I did my internship in Head office of Anam Weaving Mills located in 257 Y block commercial Area DHA phase 3 Lahore.

This is the main office which handle all the accounts marketing finance and all other necessary things this office building has two floors and one basement accounts, marketing and  accounts departments are in basement and export, quality check and all other departments are on ground floor and first floor of this building.

Head office control all the transactions and provide all necessary things for production unit and all salary and wages are also accounted in main office.

Marketing department

Anam Weaving mills marketing manager is Mr.Imran Khan. He makes all marketing plan and all the things which are related to marketing are under his hand and he perform his duties very elegantly and effectively.

The main purpose of Anam Weaving Mills marketing department is to introduce their products world wide and make good will of their products in the local and international market and make interest of the consumer and buyer towards their products of fabrics and to get he feedback from customers around the work and recommend changes to the production department according to customer need and wants.

Marketing team developing an initial marketing plan and find targeted market and right customers and buyers of Anam Weavings fabrics.

Customer Relationship Management:

 Is also managed under marketing department. All the customers complaints and all the data mining process are taken in marketing department  they work on 4 P’s of

The product is fabric and they get the rates of all yarns, cottons and other stuffs and the make costing on ms excel sheets after price decision they select place to sell the fabric place is very important in this sector because there are different sipping rates for different countries and promote their fabric on that place and create buyers interest in their products this is the main function and introduction of marketing department.

HR department:

HR and R & D are both departs are managed y the same person Mr.Asif Ali all the recruitment, downsizing  process and all the social related this are under his control.

This department’s duty is to hire new persons who are good for ANAM WEAVING MILLS and fire old persons which are making and creating problem in ANAM WEAVING MILLS.

All the companies social problem are solved by HR department in case of any dispute the employees contact with HR department for help and solution of problems.

 

R & D Department:

R & D department in Anam weaving mills have so much significance they are allowed to do experiments on fabric and create new qualities of fabrics and new design on the fabric

Pakistan’s government also support R & D department of Anam Weaving mills and give rebates and  funds to research on the sector and bring new verity in the market and enhance the Pakistani market and give boost the exports this will bring more revenue for the ANAM WEAVING MILLS and nation.

There are 10 employees working in R & D department of Anam Weaving Mills.

Export / Import department:

Import and export department  is under Mr.Ali Muhammad in this department they ensure and make all necessary documents and all legal agreement which are compulsory  for the export purpose all the fabric documentation are made by this department for export and import.

This department manages all shipment dates schedules and tracking of the shipments, B/L, E-forms, and packing list.

If ANAM WEAVING MILLS want any thing to be imported they send requisition to import /export department after approve from their senior managers and this department manage to import such goods.

 

Quality management department:

This department is under the control of Mr.Ali Imran Sab and is responsible of maintaining quality of the fabric which is produced in the Anam Weaving Mills this department use latest gadgets to check fabric quality count weft and warp of yarns in fabric and check the fabric’s GSM make samples for the clients, recommend quality standards.

These departments solve the quality related problems and maintain the quality according to the need of international standards.

MIS department:

In Anam Weaving Mills one of the highest important departments is MIS department because it’s connected with all departments and cause of Anam Weaving Mills 80% sales are on export base the MIS department is become more imported when needed live communication through computers and needed email management system.

MIS department is Under Zeeshan J Maliks control who done his MCS and he is also very talented and done Microsoft certified system engineering it is MIS departments duty to backup all the data of employees and check regular maintains in the systems provide database servers, provide trouble shooting and networking.

This department is also divided in many small united like support, software development, web developers, networking engineers.

Finance department:

This department is managed by AD Nasir Sab this department is also divided in many small unites like sales tax, internal auditors, accountants, cashiers this department is responsible for managing all cash and transactions making account’s and salaries of the employees opening letter of credit or demand draft for trading and bank accounts  of Anam Weaving.

Admin department:

This department is under control of Mr.Hayyan Mamom this department’s duties are managing small staff like security grads office boys control time check on office staff and assign small task to the staffs on daily and routine basis.

The stores are also under Admin dept control when anything needed from stores from stock the proper approval and reacquisition s required other wise admin refuse to give anything form stores.

2.5 Organizational management analysis (OMA)

The Organizational Management Analysis process examines a ANAM WEAVING MILLS’s culture and provides insights to the alignment of management groups with the ANAM WEAVING MILLS’s goals and objectives. This information is used to analyze the human capital aspects associated with an organization’s long term strategic objectives.

The management of the organization has big influence on the decisions of the organization give marketing management priority to deside the public related decisions.

Anam Weaving is managed by managers and of the departments and all the problems are discussed with managers only they do not involved lower level management only upper level management are allowed to make decisions and make changes in any process.

All the managers’ work together to solve combine problems which are related to all departments.

3.2 Detail of works assigned to me during internship tenure

1st week: in (MIS department):-

In 1st week MIS officers introduce me to all MIS departments’ colleges and attached me with the support unit of MIS department support assign teach me the work of

  • Windows installation
  • MS office installation
  • Hardware troubleshooting

They teach me to install windows under domain controller and install necessary antivirus and tuning of windows for best performance and increase virtual. I install 25 windows and system software’s in 1st week and learn lots of things which would be really helpful in my professional career.

2nd week in MIS department:-

In 2nd week they teach me LAN and WAN settings wiring and connectors wire scheme and assign me the work of replacing all the faulted LAN RJ connectors the wiring scheme for the LAN is following

 

I use tester and change all missing connectors of LAN and install IP DNS and gateway settings and ISA firewall on user’s computers.

3rd week in MIS department:-

In 3rd week they introduce me to their Wireless LANS and teach me routers settings Uper level management use laptops with Wi-Fi/WLAN enabled so they access their files and all other related network stuffs wirelessly.

In Anam Weaving Mills local area networks are built with relatively inexpensive hardware such as Ethernet cables, network adapters, and hubs. Wireless LAN and other more advanced LAN hardware options also exist.

They Assign me the work of setting permission and setting policies on fileserver all the files which are used in various departments are stored in fileserver and some restrictions are set by the MIS department on files marketing related data can only be accessed from marketing department users pc and all other departments file are secured in such a way that no other and 3rd person can miss use the data and files and some users are allowed to access the internet and some are not these policies are set from  Microsoft ISA server 2004.

4th week in MIS department:-

In 4th week they introduce me with the email server and assign me the work of making a a list of email which are sending spam in organization and blacklist these email address in email server so there will be less or no spam message circulation in the organization I created a list of spam senders’ email address and add then in blacklist of email server they use MDaemon email server for email managing purpose and connect all users from outlook 2003 and 2010 to the email servers and also assign me the work of setting local users email address in outlook 2003 in computers POP3 and SMTP protocols are used for email purpose.

They have backup servers of emails and database and file servers backup server they also use MS exchange for email management purpose Exchange Server 2003 provides many features which enhancements and improve consistency, manageability, and security. Exchange Server 2003 is software from Microsoft to help managing organizations emails on their own network and to open their own email servers. MS Exchange runing on Microsoft Windows® 2003 Server, Exchange Server 2003 is the first version of Exchange designed to run on and take advantage of Microsoft Windows Server™ 2003. Microsoft Office Outlook Web Access and mobile device support using Outlook Mobile Access and Exchange Server ActiveSync.

Upper level management use blackberry mobile phone and services and have ability to access their mail box from anywhere IMAP protocol is used for this purpose.

5th and 6th week:-

Marketing manager Mr.Imran attached me with the developer’s team which was the best part in my internship program. Developer’s teams manage and develop the computer software’s according to the users need and organization’s demand.

They develop software’s in .net, Java and also do web developing there was 25 employees working in development team all of them are highly skilled and very good programmers.

The database they were using was MS SQL they teach me to set permissions on database tables.

They assign me the work of checking software developed by team and give them feedback and detail of bugs I found in their software and make test entries in the software of accounts and marketing.

7th Week in Marketing Department:-

I got transferred from MIS to marketing department and marketing department give me the TASK OF MAKING Power point presentation about Bangladesh, Turkey and Portugal’s cotton market and list of buyers and sellers of cotton fabric from these countries I done this task successfully within given  time.

In marketing department I learn lots of things like how to manage customers and all the ways of getting 369 degree feedbacks from customers and fulfill their requirements in anam weaving Mills the marketing department has huge importance because it is marketing department which increase the volume of sales and make goodwill.

In marketing department after presentations of power point they assign me 2nd task of

8th Week in Accounts Department:-

In task of Accounts department of Anam Weaving Mills include Invoice generation, account reconciliations, make accounts of all peoples transact from Anam Weaving Mills.

Balance sheet, statement of profit and loss etc. Also common are setting up adequate internal controls for all business processes handling external audits and dealing with banks in order to obtain financing.

During last week of my internship I learn and spend my last week in accounts department and accounts department show me the software’s they use for account maintaining purpose they use custom made software for managing all Payroll, accounts of bank for making statement of cash flow, trial balance and balance sheet.

They use MS excel frequently for routine and daily computing in accounts department they teach me to enter general voucher in the software and database and gave me work of entering the vouchers in the software.

In Anam Weaving Mills there is a big team working in MIs department which is responsible for all IT related problems and their solutions and application of new technology In MIS department there is 45 employees.

The Manager of MIS department control all the 30 peoples staff there is 9 peoples support including  1 support manager which is responsible for giving answers to Manager MIS and 11 peoples working in Networking department including 1 senior network administrator  and 10 peoples work in development department including chief programmer.

 

4.3     Major responsibilities and functions of the MIS department

  • Providing E-Mail Services to organization:

MIS department provide E-Mail service to all organizations required employees with the help of email servers and support team they provide access to employees to their email inbox in their computers and mobiles as well for this purpose they use 2 software based servers called MS Exchange and Mdaemon email server which use network and use protocols of POP, SMTP and IMAP.

 

  • Network Services

MIS department of Anam Weaving mills provide Network connectivity for all necessary users to share their file and folders to work combine on same projects and files.

  • Printing Services:-

All of the office staff are not allowed to use printer only specific persons are allowed to print their documents and for this purpose MIS department attached 5 network printers and 3 separate printers and provide service for printing like installation of printers and tuner filling.

  • Web Site Administration:-

MIS department team manages the website of anam weaving and web developers from MIS department given the task to add or remove any content from website and online database.

  • Database Administration:-

Database are handles by MIS department all the database of the organization are stored in proper format in MS SQL server and this is MIS department responsibility to maintain the database keep proper backups and give the access of the database to authorized persons only.

  • Audio & Video Services:-

It’s MIS department duty to provide service of audio and video conference and provide easily access for video and audio conference with customers around the world.

  • Terminal Services:-

MIS department help provide terminal services like remote access and telnet service, help and support purposes.

  • Software Development:-

Team of developers under the head of MIS department provides software development services in anam weaving all of the software’s for accounts and all other related software for marketing data mining and small utilities for checking fabrics quality and computing the costing of the fabric.

  • Providing Internet access:-

MIS department provide access to outside networks like on VPN and internet to the authorized persons Internet access is controlled by software called Microsoft Internet Security and Acceleration Server (ISA).

ANSOFF MATRIX:-

The ANSOFF  Growth Matrix is a marketing tool created by Igor ANSOFF. The matrix allows marketers to consider ways to grow the business via existing and/or new products, in existing and/or new markets – there are four possible product/market combinations. This matrix helps companies decide what course of action should be taken given current performance. The matrix consists of four strategies:

Market Penetration:-

Market penetration occurs when a ANAM WEAVING MILLS enters/penetrates a market with current products. The best way to achieve this is by gaining competitors’ customers (part of their market share). Other ways include attracting non-users of your product or convincing current clients to use more of your product/service, with advertising or other promotions.

Product Development:-

A firm with a market for its current products might embark on a strategy of developing other products catering to the same market., but frequently markets new burgers. Frequently, when a firm creates new products, it can gain new customers for these products. ANSOFF matrixes of ANAMWEAVING MILLS project the plan, which ANAM WEAVING MILLS should follow to increase its sales and profits. ANAMWEAVING MILLS should follow the market penetration and market development strategy in order to increase its sales. ANAMWEAVING MILLS can penetrate a market through advertisement, discounts, etc which can raise its customer base, whereas it can extend its business to different countries like EURAPE, AMARICA , UK  where there is demand for cotton fabrics are high from this ANAMWEAVING can move to new markets and enhance its sales and profits in the process.

 

1.      Conclusion

During my internship in Anam weaving Mills MIS, Marketing, and accounts department. The major focus was on MIS department I learn windows installation, LAN WAN and other software and troubleshooting etc.

I analysis different environment of Anam Weaving Mills like external and internal environment the marketing team of ANAMWEAVING MILLS  is strong and take orders from all around the world and give it to production department after that production department produce the fabric according to the need of the clients and forward the produced fabric to the export department and export department export the fabric provide all invoices to the accounts department and accounts department recover the profit and maintain accounts of clients in all this process the MIS department is the major supporting department who help all the departments in all their process  for maintaining digital database and providing quick access to safe data.

Anam weaving Mill produces and export the cotton and all other type of fabrics all the policies are according to the need of vision and mission statement except the control and power all the powers are given to upper management and lower management and employees are not considered while making necessary and important decisions.

All though there is some weakness’ of the ANAMWEAVING MILLS  such as Seth’ culture, Weak R&D facilities, Lack of HR development, Too late decision making, Lack of marketing expertise, Location of production unit but the strength of ANAMWEAVING mills are covering  these weaknesses.

The Internal factor evaluation (IFE) matrix of ANAMWEAVING MILLS tells  us the story of internal strength and weakness and the total score of Internal evaluation matrix of  ANAMWEAVING is  2.72 which indicate a strong internal position of  ANAMWEAVING MILLS.

ANAMWEAVING MILLS has 2nd strong position in major competitors in market.

That is a good sign of progress in compare to previous performance. the BCG growth share matrix shows that the new product range of anam could be next star for the company and can give huge amount of profit.

In the ANAMWEAVING I observe that there is well-organized worker role to achieve the settled goals. Some workers do not do work hard in particularly labor  sector of ANAMWEAVING mills used for production of cotton fabric manufacturing but higher level staff do work honestly. This will increase the output of ANAMWEAVING. They are absolutely necessary to complete and express clearly the order in time that ANAMWEAVING making ideas through which they manage their customers sound.

I learn MIS things like networking, database, hardware and software troubleshooting and also get time to enhance my communication skills get experience in accounting and all other department which would be very helpful in my professional career.

 

 

2.      Recommendations

  • I recommend Anam weaving to distribute the controls from upper management to lower management.
  • ANAMWEAVING should start E-commerce trading and website for online markets to enhance its approach to international market to over come its weaknesses.
  • Import latest machinery and maintain them properly to produce new verity.
  • They should not depend on WAPDA for power source and make their own power sources like generators and all others things There are power load shading issues now a days in Pakistan which are destroying the organizations like Anam weaving Mill.
  • Anam weaving should enhance his human resource and marketing hire more marketing staff which are experts in marketing to introduce their products in all over the world efficiently and make proper market plan for ANAMWEAVING.

 

  • Quality of service and production need to be improved should follow the international standards of guide lines for cotton fabric weaving.

 

  • Currently bonus is given only to Head office Staff such bonus and incentives must also be given to production staff.

 

  • Work over load should be managed properly on production staff so they will be motivated.

 

  • In processing section there is a need of skillful workers. There are some departments of processing in which human resources have been working since long time but their efficiency is not improved this things provide unsatisfactory results. The skilled labor will not only improve the efficiency but also will improve effectiveness. There should be chances given to skilled workers to enter the organization.

 

  • Anam weaving manager should try to reduce Seth culture from Anam weaving.

 

  • First aid and other medical amenities should be present to the employees in working time in the mill area. There is constant work in the mill and chances of accident or unpleasant incident are frequent. To manage this type of condition the first aid dispensary and a doctor should be there to help the injure and week workers.
